3D Robotics Duluth takes privacy seriously. As a nonprofit and mission-driven youth-serving organization, we seek to understand who we serve, how our programs are performing, and how we can improve our programs so that robotics remains accessible to any youth who wants to participate in the fun, exciting, and life-changing experience of robotics.
To accomplish these goals and fulfill our responsibilities as a youth-serving nonprofit organization, we collect and process certain personal information. This Privacy Policy describes how 3D Robotics Duluth ("3D Robotics Duluth," "3DR," "we," "us," or "our") collects, uses, retains, protects, and discloses personal information provided to us through our websites and through our programs and other activities.
This Privacy Policy applies to personal information collected through any website where this Policy is posted (the "Sites") and to personal information that 3DR obtains through other means, as described below.
1. Agreement to the Policy
This Privacy Policy describes how 3D Robotics Duluth ("3D Robotics Duluth," "3DR," "we," "us," or "our") collects, uses, retains, protects, and discloses personal information.
By accessing or using our Sites, creating an account, submitting information to 3DR, or participating in our programs or activities, you acknowledge that you have been provided this Privacy Policy.
Where consent is required by applicable law or by 3D Robotics Duluth's policies, we will obtain the appropriate consent. Certain activities, including participation in 3DR programs and the creation or use of photographs, videos, and other recordings for program documentation or promotional purposes, may also be subject to the separate 3D Robotics Duluth Consent and Release Agreement.
If you believe personal information has been collected or used in a manner inconsistent with this Privacy Policy or applicable consent, please see Section 17 for information about how to contact us.

Depending on the nature of your relationship with 3DR and the program or service involved, we may collect the following categories of personal information:

When you engage in certain activities on our Sites, we may ask you to provide information through an online form. Depending on the activity, some information may be mandatory and some may be voluntary. If you do not provide information that is required for a particular activity, you may not be able to participate in that activity or use the associated service.
4. How 3D Robotics Duluth Uses Personal Information
We use personal information for purposes reasonably related to operating our organization and fulfilling our mission, including:
Program administration and improvement
We may use information to administer and operate our programs, communicate with participants and families, evaluate and improve our programs, understand whom we are serving, assess program impact, report aggregate or de-identified information, monitor organizational growth, and improve the delivery of our programs.
Safety and participant support
We may use information provided by participants, parents or guardians, volunteers, coaches, mentors, or other individuals to support participant safety, respond to emergencies, manage incidents, and fulfill our responsibilities as a youth-serving organization.
Website and technology operations
We may use information to create and personalize website content, improve website quality, facilitate use of our Sites and services, maintain security, evaluate website usage, and troubleshoot technical problems.
Communications
We may use contact information to communicate with participants, parents or guardians, volunteers, coaches, mentors, donors, and other individuals concerning programs, activities, organizational matters, and other information reasonably related to our relationship with them.
Fundraising and organizational reporting
We may use information to administer donations, acknowledge contributions when authorized, evaluate organizational activities, and prepare aggregate or de-identified reports for organizational, grant, fundraising, or program-evaluation purposes.
Legal and organizational purposes
We may use information when reasonably necessary to comply with applicable law, respond to legal process, protect our rights or property, investigate incidents, enforce agreements, or protect the safety and interests of participants, volunteers, staff, visitors, or other persons.
5. Facility Security Cameras and Video Surveillance
3D Robotics Duluth operates security cameras at our facilities to promote the safety and security of youth participants, volunteers, coaches, mentors, visitors, and others; protect our facilities and equipment; deter and investigate theft, vandalism, unauthorized access, and other security concerns; and investigate reported safety or security incidents.
Where cameras may be located
Security cameras may be located in areas such as:

Classrooms, meeting rooms, and other program or activity spaces
Our program and activity spaces may be used by youth participants, including participants in our FIRST Tech Challenge (Tech), FIRST LEGO League Explore (Explore), and FIRST LEGO League Challenge (Challenge) programs, as well as coaches, mentors, volunteers, parents or guardians, and visitors.
Continuous recording
Security cameras may record continuously, including when programs or activities are not taking place. Continuous recording allows us to investigate incidents that may not be known or reported at the time they occur and avoids requiring volunteers or staff to manually activate or deactivate cameras.
Audio is not recorded
Security-camera microphones are disabled. 3DR does not intentionally record audio through its facility security-camera system.
Security-camera footage therefore consists of video and associated technical information rather than recorded conversations or other audio communications.
Purpose and limitations
Security-camera footage is used for legitimate safety, security, facility-protection, and incident-investigation purposes.
Security cameras are not intended to:

Evaluate a youth participant's performance

Monitor or assess coaching or mentoring performance

Monitor ordinary participant behavior for disciplinary purposes

Conduct facial recognition or identify individuals through facial-recognition technology

Record conversations or other audio

Create promotional or marketing materials
The existence of security-camera footage does not replace or modify any separate consent that may be required for photographs, videos, livestreams, or other recordings used to document or promote 3D Robotics Duluth programs.
Privacy protections
Cameras are not intentionally installed in areas where individuals would ordinarily expect a high degree of personal privacy, such as restrooms or changing areas.
Where practical and appropriate, camera views may be configured with privacy or blackout zones to prevent recording of areas outside the organization's intended surveillance area.
Security-camera events and automated detection
Our security-camera system may use automated video-analysis features, such as motion detection and person detection, to identify activity and make relevant portions of recorded footage easier to locate.
These features are used as organizational and security tools. Automated detections are not necessarily accurate and are not treated as definitive identification of a person or determination that a particular event occurred.
3D Robotics Duluth does not use the security-camera system for facial recognition.
Access to security-camera footage
Access to security-camera footage is restricted to individuals who have been specifically authorized by 3DR and who have a legitimate organizational, safety, security, or investigative need for access.
The General Manager may have ongoing administrative access to the security-camera system. The Program Manager, Board President, or other designated organizational leaders may be granted access when reasonably necessary for a legitimate organizational, safety, security, insurance, or incident-investigation purpose.
Other staff members, coaches, mentors, volunteers, participants, parents or guardians, and visitors do not have routine access to the security-camera system unless specifically authorized by 3DR for a legitimate purpose.
Access credentials are individual and may not be shared. Authorized users are expected to keep their credentials secure and may not provide access to unauthorized individuals.
Access to security-camera footage may be logged or otherwise auditable through the security system.
Disclosure of security-camera footage
3D Robotics Duluth does not sell or rent security-camera footage.
We may disclose or provide access to security-camera footage when reasonably necessary to:

Investigate or respond to a safety or security incident

Protect participants, volunteers, staff, visitors, or other persons

Protect organizational property or equipment

Make an insurance claim or respond to an insurance matter

Comply with a subpoena, court order, law-enforcement request, or other legal requirement

Protect or exercise the organization's legal rights

Respond to a legitimate request from an individual or parent/guardian when appropriate and consistent with the rights and privacy of other individuals

Otherwise comply with applicable law
When footage contains images of other individuals, including minors, 3DR may limit, redact, or decline to provide access where appropriate to protect those individuals' privacy or where disclosure is otherwise inappropriate.
Retention of security-camera footage
Our target retention period for ordinary security-camera footage is approximately 30 days, subject to available storage capacity, system operation, recording configuration, and other technical limitations.
Security-camera footage is generally stored electronically and automatically overwritten as storage capacity is needed. Actual retention may therefore be shorter or longer than 30 days.
When footage is reasonably believed to be relevant to a safety or security incident, investigation, insurance matter, legal claim, dispute, or other legitimate organizational purpose, 3DR may preserve that footage beyond the ordinary retention period for as long as reasonably necessary for that purpose.
Security of camera footage
3D Robotics Duluth takes reasonable measures appropriate to the nature of the information to protect security-camera footage against unauthorized access, use, disclosure, alteration, or destruction.
No electronic storage or security system can be guaranteed to be completely secure.
6. Photographs, Videos, and Other Program Recordings
Security-camera footage is separate from photographs, videos, livestreams, and other recordings intentionally created for program documentation, communications, fundraising, or promotional purposes.
As described in the applicable Consent and Release Agreement, participants and, where applicable, their parents or legal guardians may be asked to provide consent concerning the creation and use of photographs, videos, and other recordings involving participants.
Program recordings may be used to document and promote 3DR and its programs, subject to the applicable consent and release terms.
A request concerning the use or removal of a promotional photograph or video does not necessarily require deletion of security-camera footage or other records that 3DR has a legitimate reason or legal obligation to retain.
7. How Long 3D Robotics Duluth Retains Personal Information
3D Robotics Duluth retains personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, administer our programs and organization, comply with applicable legal or financial obligations, resolve disputes, protect our legal rights, or fulfill other legitimate organizational purposes.
When we no longer need personal information and have no legal, operational, or other legitimate reason to retain it, we will seek to delete, destroy, or de-identify it in a reasonable manner.
Specific retention periods may vary depending on the type of information and the purpose for which it was collected.
Security-camera footage is subject to the separate retention practices described in Section 5.
8. How 3D Robotics Duluth Shares Personal Information
3D Robotics Duluth does not rent or sell personal information.
Except as otherwise described in this Privacy Policy, we seek to keep personal information private and do not share it with third parties except when reasonably necessary to:

This Privacy Policy applies only to information collected or processed by 3DR. Other websites and services have their own privacy policies and information practices. We encourage you to review the applicable privacy policy before providing information to another organization.
11. How You Can Correct or Update Information

Please provide sufficient information for us to identify the information you believe should be corrected. We reserve the right to confirm your identity before making changes.
We encourage you to promptly update information when it changes.
12. How You Can Request Deletion of Personal Information
You may request that 3D Robotics Duluth delete personal information about you by contacting:
We may request information reasonably necessary to verify your identity and understand the scope of your request.
3D Robotics Duluth will evaluate deletion requests on a case-by-case basis and will delete or de-identify information when appropriate and reasonably possible.
Deletion may not be possible or appropriate where 3DR has a legal obligation or legitimate organizational reason to retain information, including information necessary to:

13. How You Can Request a Copy of Personal Information

We may request information reasonably necessary to verify your identity.
A request for a copy of personal information does not necessarily include unrestricted access to information concerning other individuals. For example, records containing information about multiple participants may need to be redacted or withheld to protect other individuals' privacy.
14. 3D Robotics Duluth Donor Privacy Policy
This section applies to donor-related information received by 3DR, both online and offline.
3DR may collect and store donor information including name, address, email address, telephone number, and donation amount.
Unless authorized by the donor, required by law, or reasonably necessary to process or administer a donation, 3DR will not share donor information with another entity.
If a donor indicates that an employer will match a donation and asks 3DR to assist with obtaining the matching gift, we may disclose appropriate donor contact and donation information to the employer for that purpose.
We are not responsible for the privacy practices of a donor's employer or other third-party organization. Donors should consult the applicable organization's privacy policy for information concerning its handling of donor information.
15. Children's and Youth Privacy
3DR is a youth-serving organization, and many of our participants are minors.
We recognize that information concerning youth requires particular care. We seek to collect and use participant information only for appropriate program, safety, administrative, legal, organizational, or other legitimate purposes.
Where parental or guardian consent is required by law or by our organizational policies, we will seek that consent through appropriate processes.
Parents and legal guardians may contact us with questions or concerns about information relating to their child or about our collection, use, retention, or disclosure of participant information.
Requests concerning a minor's information may be subject to appropriate identity and parental/guardian verification procedures and to applicable legal requirements.
16. Changes to This Privacy Policy
We reserve the right to update this Privacy Policy from time to time.
When we make changes, we may post the revised Policy on our Sites and update the "Last Review and Update" date.
If a change materially alters how we use personal information previously collected and applicable law requires additional notice or consent, we will provide the notice or obtain consent required by law.
We encourage you to review this Privacy Policy periodically.
